Adding a multiple client

A multiple client is two or more clients that are linked. For example, use a multiple client when adding a Mr and Mrs to the system. Each client will have a unique client number but, when you add a matter for them, the clients will be linked. For each linked client, the details of the other client(s) are entered automatically on the Client Details - Contacts tab.

Take care when entering client details as, later, the information you type will be automatically extracted for use in letters and other documents.

The instructions below assume you are using automatic conflict checking. If you want to have manual control over conflict checking when adding a client, see Conflict check when adding a client, service or contact.

To add a multiple client:

First, complete the first client's details, as follows:

  1. On the Home menu, click Add New Client. Add New Client - Client Details opens.

  2. For Client Type, select Multiple.

  3. Type the Surname of the first client.

  4. When you move the cursor to the Forenames field, ALB performs an automatic conflict check and if there are any similar records they are displayed on Possible Duplicates and/or Conflicts Found. If you are satisfied that there is no conflict, click OK to close Possible Duplicates and/or Conflicts Found.

  5. Type the Forenames and click to select the Title of the first client.

Note: Titles are set up by your system administrator, in Utilities - Firm Options.

  1. Matter is selected by default, meaning that this client will be the primary (lead) client for the matter. If you want the second client to be the primary client, you will need to select Matter when you add details of the second client, as described below.

  2. For Partner, enter the code for the partner or fee earner that is responsible for the client. Either type the code or click .

  3. For Branch, enter the code for the branch of the firm. Either type the code or click .

  4. Click Next to go to Add New Client - Address Details.

Then, complete the address details, as follows:

  2. Click Next to go to Add New Client - Additional Contact Info.

Complete additional contact info, as follows:

  1. On Add New Client - Additional Contact Info, type the first client's:

  1. Click Next to go to Add New Client - Second Client Details.

Finally, complete the second client's details, as follows:

  1. On Add New Client - Second Client Details, type the second client's Surname and Forenames. Click to select the Title.

  2. Select the second client's Relationship to the first client from the drop-down.

  3. If you want the second client to be the primary client by default, select Matter.

Note: If you previously selected Matter for the first client, selecting it for the second client deselects it for the first.

  1. Click Next to go to Add New Client - Second Client Address Details.

  2. On Add New Client - Second Client Address Details, if the second client has the same address as the first client, select Use same address as first address. Otherwise, complete the address details as described above.

  3. Click Next to go to Add New Client - Second Client Additional Contact Info.

  4. On Add New Client - Second Client Additional Contact Info, if the second client has the same contact information as the first client, select Same as first contact info. Otherwise, complete the contact information as described above.

  5. Click Next to see a summary of the information you have entered for the multiple client.

  6. If you need to make any changes, click Back until you reach the screen you need to amend. When you have finished the amendment, click Next until you return to the summary.

  7. Click Finish. Client Details opens showing the information that you have added for both clients, in separate Client Details windows. The non-primary client's record is at the front.
