Agendas

An agenda sets out the process involved in completing a matter.

You can work with agendas on the Matter Details - Agendas tab, or in the case management modules, for example the Conveyancing module. There can only be one agenda per matter. Therefore, if you have an agenda at matter level, then add the matter to a module, the original agenda will be replaced by any agenda that is applied in the module.

Example

You couldn't have a Lexcel agenda at matter level and a conveyancing agenda at module level at the same time.

Master agendas

Before you can work with agendas in Matter Details or in the modules, master agendas need to be set up by the system administrator in Utilities - Document/Agenda Setup.

A master agenda acts as a template for all agendas based upon it. When you add an agenda to a matter, you are taking a copy of a master agenda. If necessary, you can then edit the agenda for the individual matter. The system administrator also defines the step types and delay reasons used in agendas.

Agenda tabs

Each agenda is divided into tabs (pages) – one tab for each stage of the matter. The example below shows the tabs of a conveyancing agenda with seven stages. Below the tabs are the buttons available for working with the agenda.

Agenda steps

Each agenda tab contains a series of steps relating to that stage of the matter. A step can produce a document, indicated by to the left of the step (means more than one document), or automatically create a task diary entry, indicated by to the left of the step.  

You can add or delete agenda steps for an individual matter, but to change an agenda for all future matters, the appropriate master agenda needs to be changed by the system administrator.

Actioning steps

Each agenda step has an Actioned Date field that is automatically updated to the current date when you action the step. This provides a history of the progress of the matter. The Actioned column also displays to make actioned steps obvious.

Some steps do not contain any documents and act only as headings, often appearing in upper case, for example CLIENT LETTERS, SOLICITOR LETTERS, but you can action these steps if you wish. For example, if the heading is Draft Contract Papers Received, you might want to action this to note that they have been completed.

Agendas and Web Case Tracking

If a step of an agenda is reportable on Web Case Tracking, this is indicated on the agenda by * in the Rep column.

Links to online search providers

If a conveyancing agenda step has been linked to an online search provider (Transaction Online, SearchFlow or TM), this is indicated on the agenda by in the Upload column. When you action the agenda step, the appropriate website opens for you to make the search.

Module agendas

There can only be one agenda per matter, e.g. you couldn't have a Lexcel agenda at matter level and a conveyancing agenda at module level at the same time.

However, once you have an agenda attached to the matter, when you click on the Agendas tab in the Matter Details window, there is a tool to Replace/Merge Agenda.

Clicking this tool displays a prompt asking if you wish to Replace or Merge the agenda.  Clicking either button displays a dialog box with a list of available agendas which will replace the existing agenda or merge it with the selected new agenda depending on the button clicked previously.

Therefore, if you click the Merge button, you can pull the Lexcel and Conveyancing agenda into one.
