Bill Printing

Each time you produce a bill against a matter ledger, the bill will be added to the Bill Printing list for you to print off. The system comes with a standard Bill template.

You can also have your own Bill format, either via a Word template set up by Advanced (please contact your Account Manager for details) or via a user-designed Word template that has been set up by your system administrator in Utilities.

Tip All bills can be printed at any time from the Bills tab in Accounts Enquiry.

  1. Open Accounts.
  2. Select a batch, if required.
  3. On the Tools menu, in the Reports section, click Bill Printing.
  4. Bill Info tab: This is a list of all bills raised which are ready for printing. The matter number, client name, date, description, fee earner, bill number, profit costs, disbursement value, total vat, and bill total are displayed.
  5. Item Description
    All fee earners Use this drop-down to filter the list of bills for a particular fee earner. Only active fee earners can be selected. Archived fee earners are not included.
    All branches If you have more than one branch and only wish to print off the bill for a particular branch select the relevant one from the drop-down list.
    Selecting and deselecting items Click on the end column to include an item. A tick will be shown., Click on the tick to remove an item.
    Select All This will place a tick in the end box to mark the bill to be printed.
    Deselect All This will remove the tick from the box and no bills will be printed.

    Tip You can print individual bills by only selecting one item.

  6. Click on the Report Criteria tab once you have selected the bills you want to print.
  7. Select the print settings:
Item Description
Print To: Select whether you want to print to a Crystal report, or to a Word template that has been set up by your system administrator.

Crystal

Include Time Breakdown Place a tick in the box by clicking into it if you wish to include a time breakdown with each bill.
Template The system defaults to Standard Template, if you have your own template set up you will be able to select it from the drop-down list. Once you have used a customised template it will appear as the default template.
Emails as PDF The email pop-up displays for you to select the recipient before the email displays with the PDF attached.
Preview Click on Preview to view the bills to be printed, you will be able to print from the Print option on the menu bar.
Print Click on Print if you wish to print the bills without previewing them first. Once you have successfully printed the bills you will be asked if you want to remove the bills. Click Yes to remove the printed bills from the list, and No if you wish to keep them on the list to be printed again at a later date.

MS Word

Preview From the Templates tab, select the appropriate document template.
From the Recipients tab, select the recipient(s) for the bill. The list can be filtered using the Role or Role Group drop-downs.
The Email drop-down button enables you to select Produce Email or Email as PDF.
The Produce Document button enables you to produce a Word document using the template selected.
