The Diary Queue

The Diary Queue lists appointments and tasks that have been created but do not have a client or matter associated with them. The exception being those entries that have the Bypass Diary Queue check box selected. The Diary Queue enables you to manage these items. You can edit the items, associate them with clients and matters or dismiss them. This can be carried out on an item by item basis or you can select multiple items and apply a selected adjustment to them. When diary items have been dealt with appropriately they will disappear from the queue, e.g. assigned a client or matter.

To View the Diary Queue

  1. From PMS, click on the Tools ribbon and then Diary Queue.
  2. The Diary Queue window displays.
Field Description
User Diary Defaults to the current user. You can use the drop-down list to view other users' Diary Queue. You also have the option to Select/ Deselect All. Once you have selected the user(s) click Apply. If you have no users selected "Select User" displays in the field.
 
The list will only include users that have an Exchange account, not those with just an ALB Diary account.
View Period Drop-down list, defaults to Today, but you can select the Last 7 days, Last 30 days, Last 3 months or All entries.
Load Items Drop-down list, defaults to 20 but you can select 20, 50, 100 or All entries.

Appointment/Tasks Tab

Check box, select one or more diary entries to be acted on by the Select Adjustment action at the bottom of the screen.
 

note The check box on the title bar will select of deselect all diary entries listed.

Allows you to edit or view the diary entry. When you click on this the ALB Diary Entry dialog box displays for you to make any adjustments as required. Click on the PMS tab to search and associate with the required Client and Matter. If a client or matter is associated with the entry, the entry will disappear from the queue.
Click to dismiss the entry from the queue. The entry will remain in the ALB Diary but will no client or matter reference.
Start Date/Time Displays the starting date and time of the diary entry.
Subject Displays the subject text of the diary entry.
User Displays the user id who created the diary entry.
Attendees Displays the names of those people invited to the diary entry.
Date Created Displays the date the diary entry was created.
Private Displays   if the entry is private and is blank if public.
Availability Displays if there is a clash with any appointments in any of the attendees' diaries.

Modify selected diary items

Select Adjustment Drop-down list to enable you to select an adjustment to action against selected diary entries. The  list includes:
  • Dismiss from queue
  • Select related matter
  • Select related client
Apply Applies the selected adjustment to all selected diary entries.
