Add contacts to deeds
Contacts may be recorded against deed records for reference purposes.
For example, deed owners, mortgagees, or trustees, etc. Use this procedure
to add contacts to a deeds record. You do this in the Contacts section
of the Deed Details screen. It can be completed as part of adding
a deed or it can be accessed at any time to add new contacts or to
amend existing details.
To add a contact to a deed:
- Open the Deed
Details screen.
- If not already open, search
for the desired client, click the Documents tab and then double-click
the deed in question.
- Click Contacts
in the sidebar. The list of existing contacts is displayed. To add
a new contact, click the Assign New
Contact button in the top right-hand corner.
- When the Associations
for Deed dialog box opens, complete these details:
- Role.
Defaults to Client, but can be changed to General, Owner, Mortgagee,
or Trustee.
- Search
for Contact. Allows you to search for an existing contact
or create a new one.
- Search
for Service Contact. Allows you to search for an existing
service contact or create a new one.
- Search
for Client. Allows you to search for an existing client
or create a new one.
- Name.
Displays the name of the contact once selected.
- Click Next
to continue and complete these details. This information is entirely
optional, so if you do not wish to add it you can skip it by clicking
Finish at this point.
- Description.
Specifies a brief description of the contact, e.g. husband, wife,
etc.
- Date
from/Date to. Specifies the length of their business relationship.
- Reference.
Specifies a reference for use when writing to the contact.
- Letter
Heading. Specifies a subject for use when writing to the
contact.
- Comment.
Specifies any additional comments or notes.
- Click Finish
to add the new contact.
Note If
the Service Contact option is not active, the Association Roll currently
selected does not have a default Industry selected. To set a default industry,
please see Add
