Use this procedure to create a draft bill for a matter using the Billing Wizard. Follow the on-screen prompts to filter and select the time and disbursement elements of the bill, allocate the fee earner profit split and gather all the other information required to produce a bill such as; the VAT control, the invoice address, etc.
To create a draft bill:
Under My Work in the navigation pane, click Billing and then select the Draft tab. Any existing draft bills (which haven't yet been posted) are displayed.
Click Add to launch the Billing Wizard. You are prompted to complete the first step.
You can also use ALT+A to open the Billing Wizard or select Billing Wizard from the Billing button on the desktop toolbar.
Enter the general billing information (e.g. matter number, bill date, VAT control, etc.) and click Next.
This step is partially completed with the details of the currently selected matter. However, these can be overridden if necessary.
To skip to the last page of the wizard after selecting a matter, and accepting the defaults on all other steps, click Last.
Filter the time for selection and click Next.
Select the individual time entries to be included on the bill and click Next.
Adjust the time/costs value to be included on the bill and click Next.
Split the costs between fee earners and click Next.
Filter the disbursements for selection and click Next.
Select the individual disbursements to be included on the bill and click Next.
Filter the charges for selection and click Next.
Select the individual charges to be included on the bill and click Next.
(Optional) Split the bill between invoicees if more than one is to be billed and click Next.
Verify the bill totals and click Finish. The draft bill is added to the Draft tab ready to be submitted for approval. It also appears on the Draft Bills tab in Batch Posting.
To amend previous steps, click Back.
(Optional) Merge the bill details into a template to create a client-ready bill.
To remove a draft bill, highlight it and click Delete.
Submit the bill for authorisation.
Notes
You can use ALT-B (back) and ALT-N (forward) to move back and forwards through the billing steps.
Draft bills cannot be created with zero balances. If a bill total is zero when the Finish button is clicked a warning message is displayed preventing the bill from being created.
