This information applies to clients and matters.
By default, when creating new packets the packet code is generated automatically by Legal Enterprise. However, you may wish to enter your own packet codes manually. The software can therefore be configured to operate using automatic or manual packet numbering. An option in System Configuration — that can only be changed by Advanced — controls which packet numbering system is used. If you would like to use manual packet numbering please call Support on 0844 815 5501.
To enter packet numbers manually:
In the Packet List, when running manual packet numbering, clicking Add enables the Code field. This allows you to type a unique packet code up to 10 alphanumeric characters, including special characters, e.g. ¬ ! £ $ % ^ & *, etc.
Complete the remaining packet details and click Save. Legal Enterprise checks that the packet code is unique for the selected packet type and:
If the packet code is unique to the packet type, then the packet is created and saved.
If the packet code is not unique to the packet type, then a message is displayed advising this. You must click OK and change the code.
If a packet code has not been specified, then a message is displayed advising this. You must click OK and type a code.
Note
Packet numbering is configured in System Configuration, on the General tab, under Packets.
If a packet created under manual numbering is copied, then a new packet code must be specified. The same check, as described above, is made to ensure the code is unique.
If a packet created under manual numbering is deleted, then the packet code can be re-used for that packet type.
Packets with a packet type of ARCH (Archived File) cannot be deleted or copied.
Manual packet numbering also impacts the matter archive process in the Matter List and via workflow:
If a matter is archived in the Matter List (i.e. its status is changed to Archived on the Archive Details tab) then the Code field is enabled allowing a packet code to be typed manually. The code is validated as described above.
If a matter is archived via workflow (i.e. using the Archive File step) then the Automatic archive file option is unticked and users are prompted for packet details when the workflow is run, allowing a packet code to be typed manually. The code is validated as described above.
Advanced strongly recommend the use of automatic packet numbering wherever possible. It is not advisable to swap between manual and automatic numbering.
