Creating key date diary types

This information applies to clients, prospects, contacts, matters and projects.

To use key dates, diary types must be flagged as key dates. These are known as key date diary types. They can then be created to generate automatic actions (e.g. to respond to a file opened date by automatically placing a 3 month initial file review reminder in the diary) or to remove existing actions.

To create a key date diary type to spawn actions:

Use this procedure to create a key date which automatically creates other actions a set number of days, weeks, months, or years before or after the original key date.

  1. In System Setup, open the Diary Type maintenance table.

  2. Click Add and complete the General tab, making sure you tick the Diary type key date option.

  3. Click Save to store the new diary type.

  4. Next, click the Generate tab and use the Add button to select the diary type(s) you want to create.

  5. In the Years, Months, Weeks and Days fields, enter the desired duration.

  1. Click Save to store your changes. You can now create tasks using this key date diary type and the selected action(s) will be automatically generated at the appropriate intervals.

To create a key date diary type to remove actions:

Use this procedure to create a key date which automatically removes other actions of a particular diary type.

  1. In System Setup, open the Diary Type maintenance table.

  1. Click Add and complete the General tab, making sure you tick the Diary type key date option.

  2. Click Save to store the new diary type.

  3. Next, click the Remove tab and use the Add button to select the diary type(s) you want to delete.

  4. Click Save to store your changes. You can now create tasks using this key date diary type and the selected action(s) will be automatically removed.
