Adding a service

Add services to ALB that you use regularly, for example solicitors, estate agents, counsel and so on. When you have entered details of the service, you have the option to add details of a primary contact at the service. The primary contact can be used as the default contact for the service when creating documents, but it has no other special significance.

Services can also be added to ALB from the Accounts application, via Supplier Enquiry.

Take care when entering service details as, later, the information you type will be automatically extracted for use in letters and other documents.

The instructions below assume you are using automatic conflict checking. If you want to have manual control over conflict checking when adding a service, see Conflict check when adding a client, service or contact.

To add a service:

First, complete the service details, as follows:

  1. On the Home menu, click Add New Service. Alternatively, on the Service Search screen, you can either right click in the top right, Search Results pane, and select Add Service or from the Actions menu, select Add Service.

  1. On Add New Service - Service Details, type the name of the service in Service Name.

  2. Click Next to go to Add New Service - Industry Details.

Complete the industry details, as follows:

  1. On Add New Service - Industry Details, select the industry appropriate to the service. Click + to expand categories in the tree structure, or double-click category headings, to find the industry.

You can assign the service to a different industry later, if necessary. See Service Details - Organisation Details.

  1. Click Next to go to Add New Service - Service Address Details.

Complete the address details, as follows:

  1. On Add New Service - Service Address Details, complete the address details. More about completing address details.

  2. Click Next to go to Add New Service - Service Additional Address Details.

Complete additional details, as follows:

  1. On Add New Service - Service Additional Address Details, type the service's:

  1. Click Next to go to Add New Service - Contact Details.

Add details of a service contact, as follows:

  1. On Add New Service - Contact Details, if you want to record details of a primary contact at this service:

    1. Type the Contact Surname, Forenames, Title and Position, and add a Description if you wish.

    2. ALB performs an automatic conflict check and if there are any similar records they are displayed on Possible Duplicates and/or Conflicts Found. If you are satisfied there is no conflict, click OK to close Possible Duplicates and/or Conflicts Found.

  1. Click Next to go to Add New Service - Contact Address Details.

Add address details for the service contact, as follows:

  1. On Add New Service - Contact Address Details, the address of the service is shown. If you want to record a different address for the service contact, deselect Use same address as Service address and enter the contact's address details.

  2. Click Next to go to Add New Service - Contact Additional Address Details.

Finally, add additional details for the service contact and check the summary, as follows:

  1. On Add New Service - Contact Additional Address Details, record the contact's

  1. If you want to check or change what you have entered on any of the previous screens, click Back until you reach the screen in question. When you have finished any amendments, click Next until you return to Add New Service - Contact Additional Address Details.

  2. Click Finish. Service Details opens showing the information that you have added for the service; or, if your starting point was Service Search, you return there with the new service listed in the industry category you specified.
