You can add a service contact to a service from one of six starting points:
On the Home menu, click Add New Service Contact. In this situation, Add New Service Contact prompts you to search for the service for which you want to add a service contact. See the instructions below
On Service Search, from the Actions menu select Add Service Contact. In this situation, Add New Service Contact shows the current service by default but you can select another. See the instructions below
When associating a contact with a client, via Client Details - Contacts tab. See Assigning a contact to a client record for how to begin before following the instructions below
When associating a contact with a matter, via Matter Details - Contacts tab. See Assigning a contact to a matter record for how to begin before following the instructions below
When viewing a service record, on the Service Details - Service Contacts tab, right-click and select Add Service Contact. In this situation, Add New Service Contact shows the current service by default but you can select another. See the instructions below
When adding a new service, you can add a new service contact at the end of the process. In this situation, you can only define a service contact for the service you are adding. See Adding a service for detailed instructions as the procedure differs slightly from the one below
The instructions below assume you are using automatic conflict checking. If you want to have manual control over conflict checking when adding a service contact, see Conflict check when adding a client, service or contact.
To add a service contact:
On Add New Service Contact - Service Details, if prompted to Search For Service, or if a service name is shown but you want to add a service contact for a different service, click the hyperlink, then:
On Service Search, browse or search to find the service for which you want to add a service contact. See Searching for a service for how to browse and use the searches.
Double-click the service in the Search Results list to return to Service Details.
On Add New Service Contact - Service Details, with the correct Service displayed, click Next.
On Add New Service Contact - Service Contact Details, type the Surname, Forenames, Title, Sex, Position, and add a Description if you wish.
ALB performs an automatic conflict check and if there are any similar records they are displayed on Possible Duplicates and/or Conflicts Found. If you are satisfied there is no conflict, click OK to close Possible Duplicates and/or Conflicts Found.
Click Next to go to Add New Service Contact - Service Contact Address Details to complete the address details. More about completing address details.
Click Next to go to Add New Service Contact - Service Contact Additional Address Details to record the service contact's:
Telephone numbers
Fax number
Email addresses
Website address (URL)
If you want to check or change what you have entered on any of the previous screens, click Back until you reach the screen in question. When you have finished any amendments, click Next until you return to Add New Service Contact - Service Contact Additional Address Details.
Click Finish. Where you return to depends on your starting point:
If you began by clicking Add New Service Contact on the Home menu, Service Contact Details opens showing the information you have added
If your starting point was Service Search, you return there with the new service contact listed for the service you specified
If your starting point was Associations for Client or Associations for Matter, you return there
If your starting point was Service Details - Service Contacts tab, you return there with the new service contact listed
